  • Digital Invoice Guide: Prepare and Send Billing Documents

A digital invoice is a billing document created, delivered, or stored electronically. The term can describe a PDF sent by email, an invoice viewed in a portal, or a structured electronic invoice processed between systems. Those formats do not all work the same way.

PDF invoice and structured e-invoice are not identical

A PDF is designed to be viewed by people and usually preserves a familiar page layout. A structured e-invoice contains data in a format that compatible accounting or purchasing systems can read automatically. In some regions or business relationships, a specific e-invoice format or delivery network may be required. A printable PDF alone may not meet those requirements.

Check what your customer asked for before choosing a format. If a government agency or large organization specifies an e-invoicing portal or data standard, follow its instructions rather than assuming an emailed PDF is interchangeable.

Review a digital invoice before sending

    • Confirm the customer name, recipient address, invoice number, and dates.
    • Check descriptions, quantities, rates, currency, adjustments, and the final balance.
    • Make sure the payment terms and instructions match what you agreed.
    • Open the exported file or portal preview to confirm that it is readable.
    • Use the delivery method requested by the customer and keep a copy in your records.

    Protect customer and payment information

Only include information the customer needs to identify and pay the invoice. Check the destination before you share the file, especially if it contains personal or financial details. Follow the privacy, security, and recordkeeping practices that apply to your business and location.

You can prepare a printable invoice in the free invoice generator and use your browser’s print dialog to save a PDF. This tool does not send invoices to customers or validate whether a format meets a local e-invoicing mandate. For PDF checks, see the invoice PDF guide.

Tax, retention, and electronic invoicing rules vary. Consult an official source or qualified professional for requirements that apply to your business.
